Accounts and teaching
Coach accounts are for adult coaches and people authorised to act for an academy. You must be at least 18, able to enter this agreement, and authorised to bind any organisation you represent. Keep your sign-in details secure, provide accurate account information, and tell us if you suspect unauthorised access.
Students join through their coach’s classroom link and do not need to purchase a membership. Coaches choose who to invite, supervise their teaching, protect classroom links, and provide students and parents with appropriate information about the service. We supply teaching software; we do not employ, certify or provide the coach, and a subscription does not purchase chess lessons from us.
Before adding a child’s information or inviting a child, the coach must have a lawful basis and any required parent or guardian permission. An independent coach must not assume they can provide consent in place of a parent. We retain our own legal responsibilities. See Children and student privacy.
Subscriptions and cancellation
Your selected plan, total price, currency, billing interval and any applicable taxes are shown before payment. Full access plans may be monthly or yearly; Academy pricing and service scope are agreed by quotation. An annual price expressed per month is a comparison: the annual total is charged together. Additional academy seats and branding services are described before purchase.
Paid subscriptions renew for the same billing interval unless you cancel renewal before the next charge. For a paid plan, cancel renewal through Membership & billing → Manage billing. If that route is unavailable, contact us and request cancellation. Cancellation stops future renewals; access normally continues until the end of the paid period. We will explain any material price change before it applies and give you an opportunity to cancel.
New eligible coaches receive one seven-day Full access trial when they create and verify their account. No payment card is required and there are no automatic charges. When the trial ends without a subscription, teaching and editing stop and saved work remains available to view. You only add a card and agree to automatic renewal if you explicitly choose a paid subscription. Subscribing during the trial preserves its original end date and remaining free time; it does not restart or extend the trial. The first subscription charge, selected billing interval, price and applicable taxes are shown before you confirm checkout. Existing paid subscriptions and earlier card-backed trials keep their original billing and cancellation terms. For an earlier trial whose agreed cancellation policy is immediate, use Membership & billing → Cancel trial and confirm: teaching and editing access ends immediately when cancellation is confirmed, including any live lesson, while saved work remains available to view. Earlier trials offered with access continuing after cancellation keep that original promise: use Manage billing to stop renewal, and access continues until their originally promised trial end date. Opening Membership or a billing page alone does not cancel a subscription. Existing no-card trials retain their original end dates and promise of no automatic charge; they do not become paid subscriptions unless you explicitly subscribe. We send essential billing confirmations and reminders independently of optional promotional-email preferences. Guest classrooms have 20 minutes of access. Your plan’s current limits are explained on the pricing and checkout pages.
If a consumer law gives you a cooling-off period, the required cancellation rights apply. For example, eligible distance service contracts generally have a 14-day cancellation period under UK law. Any request to begin supply during that period, and any effect on cancellation or charges, must be explained and agreed where the law requires it; accepting these general terms alone does not waive those rights.
Refunds and consumer rights
You may request a full refund within 14 days of your first paid subscription purchase. This voluntary guarantee applies to the initial subscription payment; renewals and later purchases remain subject to your statutory rights and any promise made at checkout. Contact us with the account email and payment reference. Please do not send card details.
Nothing in these terms limits guarantees, remedies or refund rights that cannot lawfully be excluded. These include applicable consumer guarantees in Australia and New Zealand. Where a service is faulty or not supplied as promised, you may be entitled to a remedy even after a voluntary refund period ends. Cancelling renewal and requesting a refund are separate actions; tell us if you want both.
Send cancellation, billing disputes and refund requests to hello@chessboard.plus. We may ask for information needed to locate the payment and verify your authority.
Your lessons and content
You retain ownership of your original lesson material, notes and uploaded content. You give us permission to host, copy, transmit, display and process that material only as needed to operate the service for you, maintain its security, provide support and comply with law. This permission does not give us ownership of your content or permission to publish private classroom material for advertising.
Upload or import only material you have the right to use and share with your students. You are responsible for permissions relating to student photographs, third-party studies and game imports. We retain rights in our software and branding; third-party components retain their own licences. Your plan grants access to the service, not ownership of its software.
Safe and acceptable use
- Use the service lawfully and respectfully. Do not harass, exploit, impersonate or endanger anyone, or share unlawful or infringing material.
- Do not attempt unauthorised access, interfere with other classrooms, distribute malware, bypass access limits or misuse another person’s account.
- Keep student information private. Do not record or publish someone’s image, voice or classroom material without an appropriate legal basis and any required permission.
- Follow the rules of connected chess services, including their fair-play rules. Chessboard analysis must not be used to obtain prohibited assistance in an external live game.
Report abuse, unsafe use or a copyright concern to hello@chessboard.plus, including a classroom link or relevant details where safe. Avoid sending unnecessary information about a child. We may restrict content or access when needed to address a breach, security issue or legal obligation, and explain the action where lawful and appropriate. Contact us to ask for a review.
Service and connected platforms
We use reasonable care in providing the service. Maintenance, internet connectivity and third-party outages can affect availability. We do not promise uninterrupted service, a particular chess result or a measured playing strength for training bots. Analysis and automated board scanning can be wrong; check results before relying on them.
Connections to Lichess, Chess.com and sign-in, email or payment providers depend on those services. They may have their own terms and privacy notices. Optional integrations are available only when connected. We may improve or change features, with reasonable notice of changes that materially reduce a paid service where practicable and any remedy required by law.
Ending your account
You can stop using the service, cancel renewal, and contact hello@chessboard.plus to request closure or deletion. Signing out, cancelling a subscription and deleting an account are different actions. Ask us to cancel a paid subscription as well if you want recurring charges to stop.
We may suspend or end access for a serious breach, non-payment, security risks or a legal requirement. Where reasonable, we will explain the issue and allow it to be resolved. Statutory rights survive suspension or closure. When a trial or paid period expires, saved work remains available to view, while new teaching and editing require renewed access. On normal trial or paid-period expiry, an already-running authenticated lesson may finish within a maximum of two hours after expiry; pausing or ending it ends that continuation. Immediate trial cancellation does not receive this continuation: teaching and editing end when cancellation is confirmed. Saved work is not automatically deleted on expiry; retention and deletion are explained in the Privacy Policy.
Responsibility and disputes
Each party is responsible for its own acts and omissions under applicable law. We are not responsible for the content or quality of independently provided chess lessons. Nothing excludes liability that cannot lawfully be excluded, including liability for fraud or death or personal injury caused by negligence where applicable.
For a business customer, to the extent permitted by law, our aggregate liability arising from the service is limited to the fees paid or payable by that customer for the service in the preceding 12 months. That limit does not apply where the law prohibits it and does not remove mandatory consumer rights or statutory data-protection remedies.
Contact hello@chessboard.plus first so we can try to resolve a concern. These terms do not require arbitration or prevent you from using a court, regulator or complaint mechanism available under applicable law. Mandatory protections in your place of residence continue to apply.
Student data processing agreement
This section is part of the agreement with a coach or academy when we process personal data on its behalf. In that capacity the customer determines the teaching purposes (controller) and we process data on its documented instructions (processor). We separately act as controller for our own account administration, billing, security and legal obligations. The actual activities determine these roles.
- Scope and instructions. Processing lasts for the provision of the service and agreed deletion or return. It involves hosting, storing, organising, retrieving, transmitting and deleting student identifiers, optional photographs, lesson and game records, notes, and live classroom communications for students, parents and teaching staff. Instructions comprise this agreement and the customer’s authorised use and written requests. Do not upload sensitive information unnecessary for teaching. We will tell you if we believe an instruction infringes applicable data-protection law.
- Confidentiality and security. Access is restricted to authorised people subject to confidentiality obligations. We maintain appropriate organisational and technical safeguards, including access controls, protected connections and security procedures appropriate to the data and risks.
- Service providers. You give general authorisation for the providers described in the Privacy Policy to assist with the contracted processing. Where a provider is our subprocessor, we require equivalent data-protection obligations and remain responsible for its performance of them. We will notify affected customers before adding or replacing a subprocessor and allow reasonable, substantiated data-protection objections. If we cannot resolve an objection, we will agree an alternative or permit termination of the affected service with any refund required by law.
- Assistance. Taking the nature of the processing into account, we assist with individual-rights requests, security, breach obligations, impact assessments and regulator consultations. We notify the customer without undue delay after becoming aware of a personal-data breach affecting its data, with available information and updates. We refer requests concerning customer-controlled records to the customer unless law requires another response.
- International transfers. We process data only on documented instructions, including for international transfers, unless law requires otherwise. Where required we put an appropriate transfer mechanism in place, such as applicable standard clauses and the UK addendum or an adequacy decision. This paragraph itself is not a substitute for an executed transfer mechanism.
- Return and deletion. At the end of the service, at the customer’s choice we return or delete data processed on its behalf and delete copies unless retention is legally required. The Privacy Policy explains backups and restricted retained records. Contact us to arrange an export before closure.
- Accountability. We make information reasonably necessary to demonstrate compliance available and allow proportionate audits or inspections by the customer or its authorised independent auditor, with safeguards for other customers, confidentiality and system security. Both parties cooperate with competent regulators.
Changes and contact
We will notify account holders of material changes by email or within the service and request renewed agreement where appropriate. Changes will not retrospectively remove accrued rights. Optional marketing consent is separate and may be withdrawn at any time.
